Download a free printable timesheet as a PDF and fill it in by hand. The weekly timesheet has a row for every day with columns for time in, time out, unpaid break and total hours, plus space for regular hours, overtime, pay rate and signatures. The biweekly time sheet template fits two full weeks on one page. Both print cleanly on standard US Letter paper in black and white.
How to use the free printable timesheet
- Download the weekly or biweekly PDF and print it on Letter-size paper.
- Write your name, your employer and the dates of the pay period at the top.
- For each day, write the time you started, the time you finished and the minutes of unpaid break.
- Subtract the break from the time between start and finish to get the total hours for the day. The calculators linked below do this for you.
- Add the daily totals for the week, then fill in regular hours, overtime hours, rate and pay.
- Sign and date the sheet and have your supervisor sign it if your employer requires it.
Example: a filled-in weekly timesheet
Suppose you work Monday to Friday from 9:00 AM to 5:30 PM with a 30-minute unpaid lunch. Each day is 8 hours 30 minutes minus 30 minutes, which is 8 hours. The weekly total is 5 x 8 = 40 hours. Write 40 under regular hours and 0 under overtime. At $18 per hour, total pay is 40 x $18 = $720 gross, before taxes.
How to total a timesheet
Daily hours equal time out minus time in minus unpaid break. Weekly hours are the sum of the daily totals. Regular pay is regular hours times your rate. If you worked more than 40 hours in the week, hours above 40 are overtime and are usually paid at 1.5 times your rate. Write minutes as decimals when you multiply by pay: 15 minutes is 0.25 hours, 30 minutes is 0.5 and 45 minutes is 0.75.
Frequently asked questions
How do I fill out a timesheet?
Write the pay period dates, then record the time in, time out and unpaid break for each day. Subtract the break from the time worked, add up the days, and sign the bottom.
What should a time sheet template include?
At minimum: employee name, employer, pay period dates, daily time in and time out, break time, daily and weekly total hours, and a signature line. Pay rate and overtime fields are useful if the sheet is also used for payroll.
Is this printable timesheet really free?
Yes. You can download, print and copy it as many times as you like without creating an account.
Should I use a weekly or biweekly timesheet?
Use whichever matches how often you are paid. Choose the weekly timesheet for weekly pay or for handing in hours each week, and the biweekly sheet if you are paid every two weeks. Overtime is still counted for each week on its own.
How do I turn minutes into decimal hours for my timesheet?
Divide the minutes by 60. For example, 7 hours 45 minutes is 7.75 hours. The decimal hours calculator on this site shows the full conversion chart.
Is there an easier way than paper?
Yes. The Hours Tracker Time Clock app records your shifts and breaks, totals your hours and overtime automatically, and lets you export a timesheet whenever you need one.
