How to Bill Clients Accurately for Hours

Clients rarely push back on a fair rate. They push back on hours they can't see. Billing accurately means two things: capturing every hour you worked, and showing it clearly enough that the client trusts the total.

What accurate billing looks like

An invoice clients pay without questions usually has:

  • Dated entries with start and end times or total hours per day.
  • Breaks removed, so the client only pays for work.
  • The right rate for that client or type of work.
  • A brief description of what was done.

If you're newer to self-employment, start with how contractors track hours for invoicing.

Common billing mistakes

Estimating instead of timing

Estimates drift low. Live timing captures what actually happened.

Using one rate for everything

If rush jobs, weekend work or different clients pay different rates, a single rate leaves money on the table. Separate them, as we explain in tracking hours across different jobs and projects.

Raising your rate and rewriting history

In a spreadsheet, changing a rate cell can recalculate old invoices that were already sent. Your records should keep past work at the rate it was billed.

Sending a total with no backup

A single number invites questions. An attached hours report answers them before they're asked.

How to bill clients accurately

  1. Clock in and out for every block of client work, and log breaks.
  2. Assign each block to the right client and rate.
  3. Add a short note to each day describing the work.
  4. At the end of the billing period, export the hours and attach them to your invoice.
  5. Keep the export so you have a record if a client asks later.

How Hours Tracker Time Clock helps

  • Unlimited jobs and rates so every client is billed at the right number.
  • Rate changes that don't break your history. Raise your rate going forward while past entries keep the rate they were billed at.
  • Daily notes that turn your log into a work summary.
  • One-tap PDF or CSV export to attach to invoices.
  • Live earnings so you know what the period is worth before you invoice.
